Welcome to your VEE's dedicated collaboration space! As part of the WAVE project, EAEVE is transforming how we work together with VEEs across Europe & beyond.

VEE Spaces is the name we've given to this new digital environment, built on Microsoft Teams, where your institution can seamlessly collaborate with EAEVE throughout the accreditation process and beyond.

This guide introduces you to VEE Spaces, explains why we've made this transition, and shows you what you can accomplish in this new collaborative environment.

VEE Spaces are dedicated Microsoft Teams environments serving as the central hub for collaboration between your institution and EAEVE. All communication, document submission, and data management happens here in one centralized location. Each VEE Space is managed by a designated EAEVE Office member—your primary contact for all accreditation-related activities.

Your VEE Space Team

Each VEE Space includes three members from your institution. The dean or rector is automatically included as one member. The remaining two members should ideally include someone from your leadership team and individuals involved in data collection and EAEVE accreditation activities.

Because all communication about your VEE's accreditation takes place in your VEE Space, it gradually becomes a complete repository of your accreditation history. Over time it will hold:

• Self Evaluation Reports and other report submissions
• Draft Visitation Reports
• Final Visitation Reports
• ECOVE decision letters
• Interim Reports and their reviews
• Your ESEVT indicator data
• The correspondence between your VEE and the EAEVE Office that ties it all together

Why this matters for quality assurance

Good quality assurance depends on showing not only where an institution stands, but how it got there. A single, complete record:

• Provides continuity: when deans, coordinators or staff change, the full history of findings, decisions and follow-up stays with the institution instead of being lost in individual inboxes.
• Makes follow-up traceable: every point raised in a Visitation Report or ECOVE decision can be followed through to the Interim Report and review that address it.
• Makes the next evaluation easier to prepare: your next Self Evaluation Report can build directly on earlier reports, decisions and indicator trends, rather than being pieced together from scattered files.
• Supports evidence-based improvement: your indicator history, alongside the reports and decisions it informed, shows the effect of changes over time.
• Builds transparency and trust: your VEE and EAEVE always work from the same, authoritative version of every document.

Do we need to purchase Microsoft Teams?

No. You'll be accessing EAEVE's Teams environment as a guest, so there's no need for your institution to purchase any licenses. This service is already included as part of your EAEVE membership.

What if we have staff turnover?

Simply request the addition of new staff members and removal of departing colleagues via a post in your team's channel.

Is our data secure?

Yes. Microsoft Teams uses enterprise-grade security, and your VEE Space is only accessible to authorized users from your institution and designated EAEVE staff.

What happens to our old Excel indicator data?

Pre-populated data from previous submissions has been transferred into your SharePoint lists. You can review and update it as needed.

Can multiple people work on indicators at the same time?

Yes, SharePoint lists support collaborative editing by the authorised VEE staff.
